Frequently Asked Questions

Thirty plain answers about employee transportation and how ShuttleMate helps transport teams run it.

Employee transportation

What does an employee transportation service usually include?

It covers the vehicles, drivers, routes and schedules a company arranges so staff can reach work and get home. The planning side decides who travels, in which vehicle and at what time. The running side follows each trip and records what happened. ShuttleMate is the software for the planning and running side, not the vehicles themselves.

Who manages employee transportation inside a company?

It is usually a transport desk, an admin team or HR, sometimes together with a vendor who supplies the vehicles. In ShuttleMate, this team works in a web application where users, rosters, trips and vehicles are managed. Employees and drivers use mobile apps instead of sending requests by phone or sheet.

Why use software instead of spreadsheets for staff transport?

A spreadsheet holds a plan, but it does not show where a vehicle is or whether an employee boarded. With ShuttleMate, rosters, trips, live location, boarding checks and trip history sit in one place. That gives the transport team a single view of what was planned and what actually happened.

How do shift timings affect employee transport planning?

Shifts decide when each group of employees must be picked up or dropped, so the plan has to be rebuilt around login and logout times. In ShuttleMate, employees add rosters for the shift they work, and the transport team creates trips from those rosters. Rosters must be added before the employee cut-off time, which gives the team a fixed list to plan from.

Is employee transport only for large companies?

Any organization that moves people to work on a schedule can use it, including IT and BPO firms, manufacturers, hospitals, schools, logistics teams and corporate campuses. The pages on transport by industry show how the same features apply in each case. If you are unsure about fit, tell us about your operation and we will talk through it.

Vehicle tracking

Can employees see where their vehicle is?

Yes. Employees open their trip in the app and tap Track Vehicle to see the vehicle on a map. They can also check the route and call the driver from the same trip. That way they do not need to call the transport desk to ask where the cab is.

What does the driver app need to share the vehicle’s location?

The driver app asks for location permission, location service and the Allow all the time setting. These let it keep sharing the vehicle’s position while the trip is running. Drivers therefore need a smartphone with location turned on. Details are on the live vehicle tracking page.

Can admins look back at where a vehicle went?

Yes. Admins watch vehicles on a live map and can look back at map history for a trip. This helps when the team needs to check a route after the shift has ended. Trip history is also available as reports.

Who can see the live map?

Admins in the web application see vehicles on a live map, and an employee sees the vehicle for their own trip in the app. The same trip can therefore be followed by both sides without a phone call. What each user sees depends on the trip they belong to.

Do I need separate tracking hardware to use ShuttleMate?

Our documentation describes live tracking as location shared by the driver app during the trip. We do not describe any other hardware requirement on the website. If you want to use tracking devices you already have, ask the sales team on +91 90 6766 7766 before you plan around it.

Fleet management

Does ShuttleMate provide vehicles or drivers?

No. ShuttleMate is employee transport management software and does not operate or supply vehicles. You bring the vehicles and drivers, whether they are your own or arranged through a vendor. The software helps you plan trips, assign vehicles and drivers, and follow the trip.

What can the transport team manage in the web application?

The web application is where the team manages users, rosters, trips, vehicles and shifts. It also holds support tickets raised by employees. Keeping these in one place means the team does not work from separate lists. The software overview describes the full workflow.

How are vehicles and drivers assigned to a trip?

The transport team turns rosters into trips and assigns a vehicle and a driver to each one. They can also drag employees into vehicle slots when one vehicle covers several pickup areas. The assigned driver then sees the trip in the driver app. See trip management for the steps.

Can I upload rosters in bulk instead of entering them one by one?

Admins can upload rosters in bulk with a CSV file, which suits shift changes that affect many employees at once. Employees can also add their own rosters from the app. Either way, rosters have to be in before the cut-off time. The roster management page covers both routes.

What trip records are kept for fleet reviews?

Trip history is stored, and employees and drivers can view their own trips for a date range and download them as a PDF. Admins can download trip reports as well. This gives the team something to check when a route needs to be reviewed. See trip reports for details.

Drivers

Which app do drivers use?

Drivers use the ShuttleMate app, which is available on the App Store and Google Play in India. They see the trips assigned to them and work through each one in the app. The transport team assigns trips from the web application. More is on the driver app page.

What does a driver see for each trip?

A driver sees the route, time, trip ID and cab details for the assigned trip. Each employee stop is listed in route order. This lets the driver work through the pickups without a separate list from the transport desk. The stop order follows the trip the transport team created.

Can drivers navigate to each stop from the app?

Yes. Each stop has one-tap navigation, so the driver can open directions without typing an address. There is also a call button to reach the employee for that stop. This helps when a pickup point is hard to find.

How does a driver confirm that an employee boarded?

Where boarding verification is used, the employee shows an IN OTP or QR code when boarding. The driver verifies it in the app, and the same happens with an OUT code at drop-off. This confirms who got in and who got off. The OTP and QR verification page explains each step.

Can drivers look at their past trips?

Yes. Drivers can view their own trips for a date range and download them as a PDF. This is useful for checking which trips they ran on a given day. Admins can also download trip reports for the wider team.

Safety and verification

How does OTP or QR boarding help with safety?

It records who got into the vehicle and who got off, using a code the employee shows and the driver verifies. That gives the transport team a record to check if there is ever a question about a trip. It does not replace your company’s own safety policy, but it adds a verifiable step to each ride.

Is the SOS feature always available?

No. SOS is shown only if your organization has enabled it. Where it is on, the user can call the admin in an emergency, and the call is masked. If you want it for your employees, ask us during your demo so it can be part of your setup.

What happens when an employee does not show up for a ride?

A mark no-show option is available only where your organization has enabled it. It is a setting rather than something every setup has. If you want it, raise it during your demo so it can be part of your configuration.

How can an employee get help if something goes wrong on a trip?

The employee raises a ticket from the app and chats with the support team on it. The transport admin manages the tickets and closes them once they are resolved. Resolved tickets stay in history, so the team can look back at past issues. For urgent cases, use SOS only if your organization has enabled it.

Can the transport team check who travelled on a trip afterwards?

Trip history is kept, and admins can download trip reports. Where boarding verification is used, the record shows who got in and who got off. This lets the team review a trip after the fact instead of relying on memory. The exact contents depend on how your organization has set up verification.

ShuttleMate software

What is ShuttleMate and who makes it?

ShuttleMate is employee transport management software from Cosmica Telematics. Employees and drivers use mobile apps, and the transport team works in a web application. Its head office is in Baner, Pune. Read the full overview for the complete workflow.

How do employees sign in to the app?

Employees can sign in with a mobile number and an OTP, or with an email ID. Once signed in, they can add rosters, track their trip and raise support tickets. The same app is used by drivers, with the trips assigned to them. The employee app page shows what employees can do.

Where can I download the ShuttleMate app?

The app is available on the App Store and Google Play. The store buttons on the homepage link to the right listings. Employees and drivers use the same app, and the transport team uses the web application instead. Ask us if you need help with rollout for your teams.
